How much does is cost to have a wedding and/or reception and what do you provide? We have several pricing options available. If we do not respond to an email within 24 hours please call us.
Do you have places for indoor or outdoor ceremonies?
Yes. Big Oak Meadows has 2 naturally beautiful outdoor ceremony sites. The wedding in the Pines or The Meadow. However, in case of inclement weather or if you would rather be indoors, we do have The Chapel in the barn.
Do we get to have a rehearsal?
Yes, you will schedule a 1 hour rehearsal time with a Big Oak Meadows staff person.
How do I hold a date:
You will have 10 business days from the date your contract is issued to return the contract signed by both the bride and groom along with the required deposit. During this 10 day time period your date is considered “on-hold.” Once the ten days expires your selected date will be released.
Is there a deposit to book an event at Big Oak Meadows?
Yes. In order for your date to be secure we require a signed contract by both the Bride and Groom and a $1000 deposit. This deposit is non-refundable and will go towards your final bill. For the rest of the payment details you can refer to your event agreement.
Will there be other weddings going on during my event?:
No, your wedding will be the only wedding during your rental period. There will never be another wedding happening during your event but there could be a group utilizing the Meadow Lodge for a retreat or smaller party. But you will have exclusive use of your venue during the rental period. Your group will need to stay within the boundaries of your venue.
Do we have to have a minimum amount of guests?
No, there is no minimum number of guests. We will accommodate as many as 175 however, the rental fee for a wedding in the barn is still the same.
What months of the year to do you host events in The Barn?
We host events in the barn from June 1st until the end of October unless special arrangements are made. Beginning in 2021 we will begin weddings as early as May.
Are rental rates guaranteed?
Rental rates are always subject to change. However, once your contract is signed and a deposit is given to Big Oak Meadows to secure your dates, then your price is locked in.
How long do we have to use the venue?
You have use of the venue for 14 hours. Arrival time is 9am and departure time is no later than 11pm.
Can we bring our own food? Are we required to use preferred caterer and vendors?
For safety purposes, we only allow licensed caterers. However, you can choose your own licensed caterer. You may also choose other vendors such as DJ, Photographer, Cake, Florist etc. All vendors must be pre-approved by Big Oak Meadows prior to your event.
Do you have a bridal suite? Yes, we have a brand-new climate controlled bridal suite.
Can we have alcohol at our event?
Big Oak Meadows allows the service of beer and wine only. No liquor. Guests MAY NOT bring their own (BYOB) or serve themselves. No cash bar. All beer and wine must be served by your caterer or a bartender who has taken a safe serving course and is responsible to ensure that no one under that age of 21 is served alcohol. All event hosts but sign the Big Oak Meadows release from liability form associated with providing alcohol to allow alcohol to be served. (Please refer to our alcohol policy form for more details.)
Do you have a smoking policy?
Yes, smoking is permitted in the approved areas only.
Are tables and chairs included?
Yes, we have both round and 8-foot tables. Our chairs are beautiful x-back distressed farmhouse chairs. We also provide extra unique whiskey barrels and tables described in our Big Oak Meadows wedding package description.
Is there ample parking available?
Yes. We have a large grass parking lot with plenty of room. We have VIP parking for those whom you prefer to park close to the venue. You will provide us with a list of guests who we will direct to the VIP lot. Guests can also be dropped of at the venue site or the barn and then the driver can proceed to the lot. We also have gulf cart assistance.
Is there baby-sitting service or programs at Big Oak Meadows for children during the event?
No, we do not have child care assistance. ALL minors MUST be under the direct supervision of an adult at all times. Minors are never to be dropped off at Big Oak Meadows for an event without a guardian present during the entire stay.
